Project Assistant


Project Assistant (Post ZW/ED/STEP/0004RXB, GS4

Under the overall authority of and direct supervision of the project team leader

Screen requests for appointments with supervisor according to the nature of the requests and their urgency, maintain supervisor’s calendar, confirm mutually convenient schedules and arrange appointments or rearrange schedules, an derange appointments or rearrange schedules disrupted by unexpected events, receive visitors and place and screen telephone calls, Respond to queries and correspondence, often of a sensitive, confidential or technical nature, Aid Project Coordinators in the search, location, compilation review updates of information data se din the development of documents, workplan and budgets, enter and update approved work plan/budget data in the electronic system ensuring accuracy and compliance with approved amounts, run reports from automated systems in order to assist the preparation of regular and ad hoc budgetary financial updates, reports, statistics, and/or projections for use and scrutiny by supervisor and responsible managers, Coordinates with other units to ensure smooth running and expedition of work within the unit (e.g. following up contract extensions and requests for temporary staff), Reviews, records, distributes and processes incoming mail and correspondence, follow up on pending actions, prepares draft technical responses to a wide range of correspondence and other communications, often requiring knowledge of technical terminologies and/or detailed office procedures, Carries out quality control functions for outgoing documents, proofreads and edits texts for adherence to format, grammar, punctuation and style, Performs a variety of administrative duties, Organise Project meetings, events and workshops by booking venues, equipment and providing other related logistical support, identify, review for style format and accuracy, and assemble documents and pertinent information in support of such events and meetings, collate information  and date for presentations, initiative procedures for associated services required, provide administrative support during the event, collect minutes and decisions, Creates and maintains the project filing and reference systems, Periodically reviews the efficiency of office procedures and makes recommendations for improvement, Updates office websites, knowledge management tools/databases etc Initiate travel authorisations in conjunction with meetings, workshops, conferences or sessions, makes travel arrangements, track and prepare itinerary and agenda, prepare associated documentations, facilitate the travels of visiting officials by providing information and preparing the necessary documentation, Additional activities that may be required to ensure the success of the work team

Completed secondary , technical and/or vocational education, At least 3 yrs of relevant work experience is required, Willingness to work independently, Proven ability to work in a multicultural environment, Good IT skills, particularly with respect to eh internet, Word Processing, Excel, PowerPoint etc

Diploma in Secretarial Studies, bachelors in Business Administration will be an added advantage Knowledge and/or prior experience of the United Nations Systems

Under the authority of the Director and UNESCO Representative and the direct supervision of the Project Team Leader,

Secondary Education, At least 5 yrs of relevant work experience is required, Valid clean Class 2 driver’ licence, Holder of a valid defensive driver’s licence, Willingness to work independently, Proven ability to work in a multi cultural environment, Knowledge and/or prior experience of the United Nations Systems is desirable
