Overall purpose of the job
Manage the finance function of SolarAid Malawi / SunnyMoney Malawi, providing accounting and strategic support to the Malawi Operations Director.
Job Responsiblities
- 1. Accounts Preparation and Management
- Own and manage the preparation of monthly accounts for SolarAid Malawi, including capturing all expenditure and income, conducting various reconciliations (including bank and debtors), managing and reconciling travel advances and lodgements and any other ad hoc accounting matters
- Co-ordinate the preparation of the monthly payroll and ensure it is processed in accordance with group requirements
1.2 Financial Reporting
- Submit monthly management accounts to the Operations Director and Head Office, detailing expenditure, income and primary statement performance
- Provide any ad hoc requests for financial reports promptly and efficiently
- 3. Budget and Forecasting
- Working with head office in London, help co-ordinate the preparation of the annual budget for SolarAid Malawi and SunnyMoney Malawi
- Own and manage the preparation of a rolling weekly cash flow forecast, which is prepared bi-weekly and submitted to head office for review and analysis
- As and when required, work with Head Office to provide information for funding proposals and other ad hoc budget preparation requests
- 4. Statutory Compliance
- Along with the Operations Director and Head Office, help prepare for and co-ordinate the annual statutory audit for SolarAid Malawi
- Along with the Operations Director, ensure all relevant statutory filings are made on a timely basis
- Working with the Operations Director, ensure any legal matters (ad hoc or ongoing) are supported by the finance function as necessary.
- 5. Tax Compliance
- Manage the preparation and filing of corporate tax computations and returns for all legal entities within the Malawi group of companies
- Co-ordinate the monthly and annual filing of all PAYE and employer related tax returns
- Manage the preparation and filing of the VAT returns for all entities within the Malawi group of companies
- Manage the administration of the state pension contribution programme for employees, working with an approved provider
- 6. Internal controls and systems
- Working with head office, implement robust systems for managing all assets within SolarAid Malawi and SunnyMoney Malawi
- Manage the process of ensuring appropriate documentation is in place to support all systems and processes, working with head office as appropriate
- Support the implementation of the new ERP accounting system, which will be implemented over the course of the financial year FY14/15
- 7. Office and Finance Administration
- Ensure that each entity within the Malawi group of companies has adequate insurance coverage, to protect the assets within SolarAid Malawi and SunnyMoney Malawi
- Ensure an accurate and up-to-date filing system is established in the Malawi office, ensuring all financial and HR records are housed safely, securely and systematically
- Along with the Operations Director, manage the relationship with SolarAid Malawi and SunnyMoney Malawi’s banks, ensuring statements are obtained in a timely manner
- Oversee and manage all petty cash holdings, ensuring they are reported accurately and on a timely basis
- Oversee and manage all stock holdings in SolarAid and SunnyMoney Malawi, maintaining documentation, conducting physical stock counts and reconciling stock records
- Reconciliation of field trips expenses, preparation of field budgets and managing the process of accurate field trip reporting
Desired Skills and Experience
Job requirements
- Degree level education
- A qualified accountant with experience of financial administration, charity accounting and audit
- Developing international financial systems and controls in a multi-currency situation.
- Cash flow management and forecasting abilities
- Knowledge of budget preparation and management
- Experience of working in a commercial environment
- Administration management
- Experience working in Africa
