Finance and Administration Manager

Landirani Trust is a small NGO based in Malawi and supported from the UK. Our vision is for a healthy, educated and self-sufficient community in Malawi.
We work in an area North West of Lilongwe Airport that is 250sq KM in size, with 14 centres, and around 3,000 beneficiaries who are orphans and/or vulnerable.
We now have a full time vacancy for a Finance and Administration Manager to join our small but committed and enthusiastic team.
Primary objectives:
This is an office based role with the responsibility for ensuring all the finance, administration and operational functions of The Landirani Trust are completed efficiently and effectively and in a professional and courteous way.
The role will ensure that a professional level of finance, administration and operational support is provided for all community-based activities to enable their effective and timely delivery.
The role will work closely with the Country Manager and other team members in Malawi and support the Chief Executive and Chairperson in the UK by ensuring that appropriate management information, reporting and analysis is provided in a timely and effective manner.
Operational Support
  • Logistical support for all community-based projects including vehicle and transport services and management, procurement, and effective resource management
  • Effective delivery of HR services for the Malawi-based team, in conjunction with the HR Trustee and Country Manager
  • Management of the finance function including oversight and day to day support for all financial transactions and activities, and budget and profile creation
  • Management of accommodation, office services and facilities including all site and personal security, and risk assessments and management
  • Cost-effective management day to day office support including provision of ICT, other communications (airtime, phones etc) and other goods and services essential for effective business delivery
  • Management and support of volunteers working on operational based-activity to ensure they contribute effectively and provide positive feedback on their experience
  • Provide cover in the absence of the Country Manager and work seamlessly with them to ensure all essential business is delivered
Project Support
  • Assisting in ‘critical friend’ project planning and evaluation methodology to prove the impact and value added of projects for use in donor feedback, publicity and awareness, future planning and funding proposals
  • Improving and monitoring the capability and capacity of 98 volunteer Local Based Committee (LBC) members, and managing their performance and contribution.
Fundraising and promotion
  • Exploring options and opportunities for securing funding and support both in Malawi & overseas
  • Exploring options and opportunities for ‘gifts in kind’ (blankets, soap, clothing, school equipment), Corporate Social Responsibility opportunities and corporate support (e.g. airtime sponsorship, bicycle ambulance donations etc)
  • Promoting and publicising the work and achievements of Landirani to secure further support and funding
  • Seeking new linking/partnership opportunities with other NGOs in Malawi e.g. through active involvement in Lilongwe Civil Society Network
  • Building relationships with other organisations which can assist us with advice/funds/resources (e.g. DFID, the British High Commission, VSO)
Line Management
Direct line management of
  • Finance Officer and Finance Function;
  • Administrative Officer and Office Support;
  • Part Time Project Support Officer and their activities
  • Security and support staff including day support, guards, and drivers/mechanic Indirect management of other staff and activities in the absence of the Country Manager
