Background
UN Women, grounded in the vision of equality enshrined in the Charter of the United Nations, works for the elimination of discrimination against women and girls; the empowerment of women; and the achievement of equality between women and men as partners and beneficiaries of development, human rights, humanitarian action and peace and security
Under the supervision of the UN Women Malawi Representative and the National Programmes Officer, the Knowledge and Information Management Officer serves as a focal point for coordination of the various UNWOMEN Malawi programmes in particular responding to UNWOMEN requirements in feedback into the regional documents and reports.
The Knowledge and Information Management Officer works in close collaboration with the rest of programming team across the programme as well as other programmatic areas as well as operations in the CO, Regional Office and HQs as required as well as for exchange of information.
Duties and Responsibilities
Supports preparation of the UNWOMEN Malawi Programme Work Plan :
  • Collection of information from programme team
  • Consolidating information into desired formats
Coordination of various UNWOMEN Malawi programmes :
  • Focal point for coordination of the various UNWOMEN Malawi programmes in particularresponding to UNWOMEN regional office requirements in feedback into the regional documents, reports etc.
  • Maintain all electronic as well as physical resources of all programmes and share the information regularly with the programme team
  • Presentation of background information for formulation of country KM strategy within project documents, work plans, budgets, proposals on implementation arrangements.
  • Liaise with the relevant communication partners such as media, development partners, the Ministry of Gender, Children, Disability and Social Welfare
  • Produce communication materials for internal and external use
  • Produce knowledge products around programmatic areas.
  • Support and lead as required workshops and other events related relevant to UNWOMEN Malawi programmatic areas.
Support to programme activities :
  • Support to arrangements at provincial level for consultations, meetings and other programme activities
  • Set up follow up system for the team meetings, programmes and operations
  • Provide support to programme team in drafting concise and result oriented briefs on the major UNWOMEN programmes.
  • Documentation of programme activities and management of office records.
  • Support the development of the Gender and HIV strategy for the Ministry of Gender, Children, Disability and Social Welfare and the Ministry of Local Government and Rural Development.
  • Support the process of mapping of chiefs' by-laws.
  • Follow up on implementation of the Chiefs Declaration by local authorities.
  • Support the Development of the Gender M and E system and the Gender Management Information System
  • Support activities with NSO and MVAC
Supports resource mobilization :
  • Communication material and other for information on donors, preparation of donor's profile.
Ensures facilitation of knowledge building and information management :
  • Synthesis of best practices and lessons learnt on coordination.
  • Organization of trainings to UNWOMEN staff on coordination issues.
  • Support set up of knowledge based system for UNWOMEN Malawi programme
  • Provide support to updating of the KM platform.
  • Ensure that the UNWOMEN Malawi Information System is functional.
  • Facilitate implementation of country KM Strategy.
  • Sound contributions to knowledge networks and communities of practice.
Deliverables:
  • Office mailing lists and communication tree.
  • Information sharing within UN women and with other stakeholders
  • Guideline for filing system for all programmes and operations
  • Documents for Call for proposals, briefs, other documents
  • Collated reports for the UNWOMEN regional office as and when required
  • Event reports

Required Skills and Experience
  • Bachelor's Degree in Information Technology from a recognized institution or any related qualification would be desirable
  • A minimum of 5 years working experience in the areas of system administration, knowledge and information management. Must be well conversant with statistical packages such as SPSS and GIS software especially ArcGIS and QGIS. Should have experience with database management
