Human Resources and Administration Manager, Lilongwe, Reporting to: Associate Director of Operations 

The HRAM is responsible for all aspects of the Human Resource and Administration function within the country program.  Reporting to the Associate Director of Operations, incumbent ensures that HR and Administration initiatives are aligned with EGPAF’s mission, values and long-term business strategy, and that they support the evolving HR and Administration needs of the country program 

Provide leadership and oversee HR operations to ensure strategic initiatives are implemented with a strong emphasis on recruitment, development and retention of high-quality staff, Establish and oversee recruiting, hiring and orientation plans and procedures for EGPAF employees, Establish and oversee internal HR policies, procedures and programs , Ensure and oversee internal HR policies, procedures and programs, Ensure communication and compliance with all internal policies and procedures as well as external regulations and applicable labor laws, Manage administration of personnel benefits and compliance with tax laws, including employees terms and conditions of service, salaries and benefits, employment contracts and leave records, Administer performance management processes to align employee performance with EGPAF program goals and objectives and assist management in creating and retaining high performance employees ad teams, Facilitate employee
communication, provide employee services and counselling, advise on disciplinary grievance and conflict resolution procedures and promote employee safety, welfare, wellness and health, Manage and resolve employee relations issues (Industrial Relations) and assist management with conflict resolution to ensure that issues are identified and addressed promptly, appropriately and fairly, Collaborate with the Associate Director for Operations and the International Director, Human Resources on sensitive matters including litigation, implement preventative measures and assist in reducing litigation by ensuring fair and equitable application of policies and practices, Conduct regular field trips to protect offices to monitor and review human resource and administrative procedures and assist project staff, where appropriate, Manage the country learning and development plan, identify growth and development opportunities for high potential staff, and facilitate
management and leadership development initiatives 

Administration Roles – Supervising and coordinating Administration staff members, Support the implementation of the office security plan and be the security focal point, Ensure compliance with the Foundation policy on the use of office equipment and services, Provide office management services for the team and ensure adequate and conducive work environment, Other duties as assigned by the Country Director or Associate Director of Operations 

Education and Experience – Bachelors or preferably Advanced Degree in HR, Social Sciences or equivalent, post graduate HR qualification or MBA, Good understanding and application of statutory and labor laws, A minimum of 5 yrs experience in an HR and Administration role, with 3 yrs at a senior management level, Experience in major HR functions such as performance management, recruitment and selection, training and development, Additional professional certification in HRM preferred

Knowledge, Skills and Abilities – Excellent interpersonal, communications, customer service, consulting, coaching and organisational skills, High energy and maturity with ability to manage multiple projects simultaneously with competing priorities, Culturally astute, respectful and tolerant, able to promote and support diversity in the workplace, and able to gain the trust and respect of peers, Fluency in English and at least one local language
