PERSONAL ASSISTANT Wanted at Malawi Red Cross Society


The Malawi Red Cross Society (MRCS) is a member of the International Federation
of Red Cross and Red Crescent Societies (IFRC). In Malawi, it is established by an
Act of Parliament. It focuses on providing Humanitarian services to the needy and
vulnerable populations.

MRCS is now urgently seeking to engage the services of a suitably qualified,
motivated, capable and experienced individual to fill the vacant position of
PERSONAL ASSISTANT TO THE SECRETARY GENERAL; tenable at Malawi Red
Cross Society, Headquarters office, Lilongwe.

Purpose of the Position
Reporting to the Secretary General, the Personal Assistant to the Secretary General
is responsible for providing technical support, thus making sure that effective
secretarial and administrative support services are provided to the Secretary
General. To work towards the achievement of MRCS goals and understanding the
roles and responsibilities, lateral relationship and accountabilities.
Key Responsibilities and Duties
Specifically, the activities to be carried out shall include but not limited to the
following:
• To provide all the necessary administrative support to the Secretary General’s office.
• Assist in the management of the office and procedures
• Constant checking and follow up of all official correspondence and making sure that there is proper filling system required by the Society.
• Preparing correspondences and making sure that all communications from
the Secretary General’s office (mail, fax, e-mail) are routed to appropriate
officers.
• Coordinate with the Director of Programmes and Development and Director
of Finance and Administration on relevant issues that may rise.
• Organize, participate in the Planning and arranging workshops, meetings,
seminars as required.
• Liaising with the Director of Finance and Administration on budgetary issues
for the Management and Board related tasks.
• Coordinating with other relevant departments regarding travel arrangements,
meetings and other events related to the Secretary General’s office.
• Assist in the preparation of Management reports and updates.
• Attends meetings and takes minutes of meetings arranged by the Secretary
General as required.
• Undertakes such other duties and responsibilities as assigned from time to
time by the Secretary General.
Required Educational Background and Experience.
• Should have at least Bachelors Degree or Advanced Diploma in Business
Administration and Secretarial Studies obtained from a reputable institution.
• At least three years of experience in a busy charitable organization.
Proven Skills within:
Good Computer skills – Word processing, MS Excel, Internet and Power Point.
Personal Skills
• Integrity, high ethical and professional standards.
• Team prayer and good interpersonal and communication skills.
• Analytical, result oriented, responsible and attention to detail and deadlines.
• Willingness to widen and deepen his/her competencies.
