Administrative/Office Assistant - Perform Project, Lilongwe

Tetra Tech ARD, headquartered in Burlington, Vermont (www.tetratechintdev.com) is currently accepting expressions of interest from qualified administrative candidates for the active Protecting Ecosystems and Restoring Forests in Malawi (PERFORM) program. This multi-year program is promoting rural livelihood development and forest conservation across Malawi, and is focusing on the development of demonstration projects to further REDD readiness and conserve biodiversity. The Administrative/Office Assistant will support overall project administration/operations, under the direct supervision of the Finance and Operations Manager. The successful applicant will be responsible for: filing; photocopying; sending/receiving courier packages; receipt, recording and dispatch of inventory items; oversight of office-related services; receiving guests, and directing guests to project staff; receiving documents and mail from outside, and distributing received mail/packages to the concerned staff; and, ensuring the office is clean and functioning properly. This position is full time and will be based in Lilongwe, Malawi.
Roles & Responsibilities
  • . Greet visitors at the reception area and notify concerned staff the presence of visitor.
  • Maintain register for all visitors/guests.
  • Take accurate messages, when staffs are not available.
  • Update the notice board.
  • Maintain the staff contact list (and update monthly)
  • Ensure that all goods received and dispatched are recorded in the stock cards and ledgers on timely basis.
  • Maintain a system of 'first-in/first-out' for all commodities as part of the records keeping.
  • Prepare monthly reports for the inventories and commodities stored at the office compound.
  • Prepare reports reflecting quantity, status and location of the inventory items and provide suggestions to the management about maintenance and repair of inventory item and effective use.
  • Prepare loss reports and seek approval of the concerned supervised for the reasonable losses. And, ensure that inventory database is updated immediately after recording the loss.
  • Keep tracking of the stock ledger.
  • Filling a copy of all received/dispatched commodities.
  • Any other tasks assigned by the respective supervisor.
  • Maintain the Petty Cash Float
Qualifications
  • At least high school graduate. College education in preferable.
  • A minimum of 3 years' experience in an equivalent position. Experience working with an international organization is preferred.
  • Able to communicate fluently in English, both verbally and in writing. Excellent interpersonal skills, including patience, diplomacy, willingness to listen and respect for colleagues. Must be capable of working both individually and as part of a team. Must also be able to create a supportive working relationship among all project teams.
  • Enthusiasm and tact,Strong interpersonal skills., and an ability to work under pressure.
  • Fluency in English and Chichewa required, both written and verbal.
