3. ADMINISTRATIVE ASSISTANT/SECRETARY
DUTIES
1) Create and modify memos, letters, documents, lists and notices on computer by using various word processing packages.
2) Filling all essential documents in a retrieval system.
3) Keeping an inventory of all office equipment in the department.
4) Ordering and maintaining of office equipment and consumables
5) Reporting various office faults to the administration whenever they occur.
6) Controlling use of office equipment
7) Receiving visitors to the department
8) Receiving and recording messages for staff.
9) Plan, schedule and coordinate meetings, appointments, conferences and workshops
10) Handle travel and accommodation arrangements of staff members and visitors
11) Coordinate and maintain records for staff office space, phones, office keys etc.
12) Carrying any other duties assigned by the head from time to time.

QUALIFICATIONS AND EXPERIENCE
Diploma in Secretarial Management or Business Management plus Shorthand 120 WPM, Typing 50 WPM (Advanced), Office Practice/Etiquette, and English for Business Communication, Bookkeeping and Commerce and must have done computer courses for secretaries
Must have worked as Personal Secretary for not less than 5 years in a very busy institution.
Must have good communication skills
Must be computer literate and conversant with Microsoft Office, Internet and other relevant computer packages.
