Mentor to Finance Manager

Our partner has been functioning as an NGO in Northern Malawi for ten years. Over this period it has grown substantially. It now runs a variety of projects across five key programme areas; Health; Agriculture; Forestry; Schools; Micro-Finance. There are 39 full time members of staff employed in Malawi, with a team comprising of a Programme Director, two Programme Managers, a Finance Manager & Finance Officer, administration staff, five Project Officers, Field Officers, drivers & boat operators and relevant security staff.
An AfiD volunteer is required to support the new Finance Manager to start around June/July 2014. A previous AfID volunteer has agreed to stay on & assist as an advisor; he will also be visiting the office in Malawi for two weeks at the end of May. By the time the next AfiD volunteer arrives in June/July the new Finance Manager will have been in place for 4-8 weeks and will hopefully have started implementing the changes needed in the finance office. There is a lot of work to be done in order to make the Finance Office run smoothly.
Objectives
The objectives of the AfiD volunteer are to support the finance office in the following ways;
• Training the Finance Officer on IT / accounting systems
• Checking organizational & programme budgets are being correctly entered on Quick Books
• Assisting the finance team with donor reports based off the back of Quick Books reports
• Assisting the team with the preparation for an end of year audit.
• Under taking an organization needs assessment once the new Finance Manager is in place
Tasks and Methods
The work should be conducted in accordance with our partner’s principles as a community lead organisation. The main tasks are expected to include;
• Maintain good communicative channels between all offices, prompt and timely responses to emails, phone calls and requests.
• Develop weekly reports, which should then be shared with Programme Director, UK Director & AfiD.
• Assist the finance team with creating monthly reports to be produced using Quick Books to show project & organizational finances, presented to the Programme Director & UK Director.
• Work closely with finance office to develop final accounts that will be audited.
• Work closely with the Finance Manager to ensure policies & procedures are being adopted & followed.
• Regular meetings with the Programme Director to update on progress.
• Attend monthly management meetings with finance team, Director & managers to discuss current work.
• Monthly financial phone calls with both Directors, Managers & Finance team to discuss project budgets & other financial issues.
Knowledge, Skills, and Experience:
The AfiD volunteer should have a combination of academic training and work experience related to the finance sector. They also need to understand the organisational and development challenges and strategic issues facing our partner. They should have experience and skills in managing a variety of people.
A volunteer is required for 3 months from July.
