Group and Conference Coordinator - Blantyre Hotels Limited (Re-advertisement)
Blantyre Hotels Limited, a company listed on the Malawi Stock Exchange invites suitable candidates for the following position available in the organisation
Reporting to the Reservations Manager, the successful incumbent will be responsible for Dealing with all enquiries and correspondence relating to all groups, Dealing with all incoming group and conferencing enquiries regarding accommodation and conferencing availability, rates, etc as well as taking, processing and confirming these reservations in the appropriate manner, Dealing with all correspondence or communications with regards to both individual and Group Reservations, Confirming that CLIENTS have the correct quotes with the necessary confirmation letters or pro-forma invoices, Drawing up of contracts for all group enquiries, Furnishing all relevant Tour Operators, Agents and Companies with pro-forma invoices and following up on these to ensue payments are received on or before their due dates as set out in the contracts, Ensuring all rooming lists are received and entered correctly as per the Profile SOP on Opera, Handling over all the relevant
information pertaining to groups to the Operations TEAM, Maintaining and updating the functions diary in Opera, Providing all depts. with copies of all documentation and handover 48 hours prior to check-in, Maintaining GUEST history records as well as VIP profile list (company details, designations, etc0, Responsible for adherence to laid down procedures and standards, in order to achieve the highest possible occupancies and average room rates, Compile weekly group forecast schedules and updating daily as required ensuring that all relevant departments facilities and revenue is optimised, Effective filing and carrying out of additional duties, as requested by the Department Head, Ascertaining and noting client’s exact needs when discussing the details of functions with clients, Prompt, courteous response and follow up is made to all enquiries, All work to be carried out in an organised and efficient manner taking into account work priorities and laid
down procedures, Treating instructions of management constructively and acting upon them
At a minimum, the applicants must be holder of Diploma in Front office Operations, Previous experience in Reservations, Good working knowledge of Opera will be a distinctive advantage, Understanding of BAR (Best Available Rate0, Experience in MS Word, Outlook and Excel is a must, An excellent telephone manner, a pleasant disposition, Be self-motivated and be able to take initiatives, Be committed to the precise and thorough following of reservations systems and procedures, Excellent planning, organisational and time management skills, Ability to work accurately under pressure, TEAM player with a positive attitude
