Commodity Monitoring Officer – 4 posts – Balaka – PCI Malawi
 Njira project with funding from USAID Food for Peace will be distributing food commodities following PM2A Guidelines, the Food Commodity Monitoring Officers will be tasked with the responsibility of ensuring that food commodities are managed and distributed in accordance to USAID title 11 regulations,  the prospective candidates will work under the direct supervision of Njira Chief of Party
Work with commodity personnel in organising efficient commodity dispatches, reconstitution and distributions, Assist in the mapping of final distribution points so that beneficiaries don’t walk long distances to get rations, Monitoring commodity distributions in Balaka and Mchinga and conducting client satisfaction interviews with the beneficiaries, Carrying out internal commodity record checks ensuring that processes and documentation are being followed to the letter, Conducting quality control checks on targeting criteria and ensuring that only beneficiaries meeting the criteria are targeted, Conducting Local Market surveys on food commodity prices and reporting to Njira senior Management, Monitoring Food For Assets (FFAs) interventions and ensuring work ethics are followed, Develop standard Monitoring tools for use in warehouse and Distribution monitoring exercises based on USAID commodity Management best practices, Conducting Post-distribution monitoring ensuring that food distributed is being used properly, Document and share distribution process and areas requiring improvements, Monitoring rodent control, fumigation and fire control schedules in the warehouse and reporting any mis-haps to Senior Management, Prepare and submit accurate, quality and timely Commodity Distribution, Warehousing and beneficiary reports to Chief of Party, Undertake other related tasks as assigned by the supervisor
Degree in Social Sciences, Business Administration or any Behavioural  Sciences qualification from reputable institution, 3+ yrs proven experience in USAID Food Commodity Management, Strong written and verbal communication skills in both English and Chichewa, Ability to use qualitative, statistical and other quantitative data to support decision-making

Assistant Warehouse Supervisors – 2 – Balaka, Blantyre – PCI Malawi
Manage PCI Malawi Warehouse and commodity management for Njira Program.  This position will initiate and support the coordination of the warehouse functions required in effective management of commodities
Assisting in managing all warehouse activities regarding commodity receipts, storage, stacking, reconstitution and dispatches, Secure warehouse by turning alarms on testing systems, ensuring that warehouse opening and closing register is being filled,; proper custody of warehouse keys and padlocks, Observe the FIFO (first in and first out) rule and other warehousing best practices including housekeeping, ventilation, palletisation, and staking to ensure good quality of stored Food commodities and Non Food Items (NFIs), Assist in ensuring that the warehouse has enough man power (casual labourers) during peak periods; ensure that all casual labours have proper identification,; casual labours register is being filled and signed all times; and processing casual labours payment, Maintain inventory by conducting daily warehouse inspection; filling of tally sheets; monthly physical counts; reconciling variances; inputting data into Commodity Information Management System (Gpath), Ensure all warehouse transaction are properly recorded on commodity stacks and all commodity movements are timely updated in Gpath, Document all entries in the warehouse ledger concerning receipts, dispatches and returns as per truck load, time, quantity and condition and weight of commodities, Register and supervise casual labourers on daily activities of the warehouse, Practicing integrated pest management, preventive and corrective procedures including spraying and fumigation requirements as per donor regulations and familiarity with PERSUAP procedures, Assist in preparation and submitting to the Commodity Manager all daily commodity movement reports with attached waybills, reconstitution reports, damaged and loss reports, Immediately report to the Commodity Manager on any notable pilferage or pest infestation and rodents and proposed ways to control them, Assist in preparation of Daily Monthly, Quarterly and Annual Commodity Movement Reports and perform any other duties as assigned by the Commodity Manager, Ensure that all questionable commodities are isolated for reconditioning, inform the warehouse supervisor about the need for reconditioning at the earliest opportunity to reduce food losses
Diploma in Logistics and Supply Chain Management or related fields from recognised institutions, 1-2+ yrs of experience in Warehouse Management, Able to supervise, manage community, record keeping, Proficient computer skills particularly with spreadsheets, databases and word processing software

Keep track of received data and source documents, Prepare and sort source documents, and identifies and interprets data to be entered, Contact preparer of source documents to resolve questions, inconsistencies, or missing data, Data entry on the G-Path Management Information System of beneficiary information, Enter alphabet, numeric or symbolic data from source documents into computer following format displayed on screen and enters necessary codes, Confirm accuracy of data such as names, dates, times, locations and instructors, Compare data entered with source documents or re-enters data in verification format on screen to detect errors, Review and make necessary corrections to information entered, Compile, sort and verify accuracy of data to be entered, Processes various forms, Assist in establishing and maintaining an effective and efficient records management in the G-Path MIS, Generate reports and respond to inquiries regarding entered data s
requested, Contribute to a team effort and accomplishes related results as required, Maintain confidential information, Perform other job related duties as assigned  

A holder of Diploma in information technology, Agriculture or Health, 1-2 yrs experience working as a Data Entry Clerk or in a fast paced organisation, Ability to operate various work-processing software, spreadsheets, and database programs especially Excel and Access, Basic typing skills – 30 words per minute, Ability to manage mobile based information management system, Communicate efficiently and effectively both verbally and in writing
