The Executive Assistant is responsible for defined work or projects with moderate complexity. In this role you will follow an individual work plan and meets day-to-day short-term objectives and resolve issues through immediate action or short-term planning. In this role you will support the GE Mozambique Commercial/business entities, overall coordination of projects & acting as a communication liaison amongst various stakeholders
• Preparing and producing supporting materials and documents for presentations and meetings (internal and external), including creating and designing the content.
• Assisting with all Regional Hospitality/Event Management that involves the executive staff.
• Managing expenses reports
• Maintaining the appropriate filing system and providing support with other general office administration as assigned
• Proactively coordinates projects, and serves as liaison between customers and the project management organization (Engineering, Finance, Administration, Sourcing, etc.)
• Maintains solid customer relationships by handling their questions and concerns with speed and professionalism.
• Processing of invoices by determining the net amounts to be paid to vendors – this involves liaison with the tax team to confirm applicable taxes and also cross checking contracts with vendors to confirm tax-related clauses.
• Managing relationships with vendors by ensuring invoices are processed accurately & timely and any discrepancies in the vendor statements are sorted.
• Organize quarterly board/stakeholder meetings and follow up on action items.
• Scheduling weekly operational calls with the various stakeholders.
• Processing bank payments – negotiation of exchange rates with Bank Treasury, preparing transaction documentation, obtaining approvals from the various Directors & physical visits to the Bank to process the payments.
• Review Task Commitment Sheets and Purchase Orders & facilitate approvals from stakeholders after confirming accuracy & completeness of the expense amounts.
• Work closely with the budget preparer to ensure that the amounts included are correct and that all expenses incurred/planned for have been properly recorded in the budget tracker.
• University graduate with a Bachelor's degree
• Strong communication skills with the ability to interact with staff (at all levels) in a fast paced environment at a high level of professionalism and confidentiality
• Exceedingly well organized and coordinated person with a global mind-set
• Passionate, proactive, responsible, resourceful, detail-oriented, hard-working and willing to learn to achieve high standards
• Proficient in both spoken and written English
• Experience working in a corporate environment supporting executive level clients
• Ability to make independent decisions with minimal oversight, a self-starter and an ability to think ahead and plan for all scenarios
• Highly motivated, confident and flexible attitude with a sense of ownership
• Ability to work well in a pressured environment under tight deadlines
• Ability to work with a team of administrative staff to provide a professional and seamless service to the region as a whole
• Advanced knowledge and proficiency in n all Microsoft Office products, particularly Outlook, Word, Excel and PowerPoint
• Excellent administrative, interpersonal and organization skills
• Experience of interfacing with senior executives and high profile clients.
• Excellent communication skills and proven ability to effectively work with all levels
• Ability to prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
